As you may have been made aware from the Royal Mail, there are going to be some changes to the way that Special Delivery or Signed For mail is sent from the 1st November. The below guide should help you to understand the changes.

To begin with, select your franking machine supplier or manufacturer to find out more about your specific franking machine.

Mailcoms Mailmark Franking Machine Users

Mailcoms Mailmark franking machines information on the following models: Mailsend Essential, Mailsend, Mailsend Speed, Mailbase, Mailbase Lite, Mailbase Pro, Mailbase+ & Mailbase Speed

Starting from 1st November, the Royal Mail will remove the use of the coloured labels for franking machine users and replace them with a barcode printed on the letter or parcel itself.

Currently Mailcoms franking machine users will select the service they require on the franking machine model, frank the item and then apply a separate sticker to the item(s) being sent. However, the new system will use a wider franking machine indicia that will include a Mailmark® barcode and an S10 1D barcode. This makes the processing of these items far easier and smoother for the Royal Mail as well as saves on the cost of the adhesive labels, plus saves employee time.

Those who have one of the Mailcoms franking machine models listed above will not be affected as your franking machine will receive an automatic update which will allow the machine to produce a tracking number & 1D barcode for Signed for and SD services as standard.

Mailcoms Franking Machine Users With a Shipping Label Printer

Mailcoms Franking Machines Affected: Mailsend Lite, Parcelsend Lite, Parcelsend Essential, Mailsend+, Parcelsend+, Parcelsend Speed, Mailsend Kit & Parcelsend Kit

Mailcoms franking machines that currently use a shipping label along with their franking may also be affected by the change. Mailsend Lite & Parcelsend Lite users will no longer be able to process Signed For & Special Delivery items through the franking machine. However, the good news is that the shipping printer & weigh scale provided with the franking machine will now also be able to print these services via your Online Shipping Account. Finally, even better news, you will now also be able to enter the recipients address which will be printed in addition to the new 1D barcode tracking number saving you even more time. Customers with our Mailsend+, Parcelsend+ & Parcelsend Speed franking machine will not be affected as you can choose to print Special Delivery & Signed For services either on the franking machine (which will print a new 1D barcode tracking number next to the Mailmark franking impression) or you can now print Signed For & Special Deliveries via your online portal and use your shipping printer to process these items. If you choose to use your shipping printer for your Special Delivery & Signed For franked services, you will also be able to enter the recipients address which will be printed in addition to the new 1D barcode tracking number saving you even more time. Mailcoms franking machines users that have purchased the additional Mailsend Kit & Parcelsend Kit will now also be able to print these services via your Online Shipping Account as you do now for processing your parcels. If you choose to use your shipping printer for your Special Delivery & Signed For franked services, you will also be able to enter the recipients address which will be printed in addition to the new 1D barcode tracking number saving you even more time. Whichever franking machine model you use alongside your Mailsend Kit will be affected as detailed above.

Those who have any of the machines listed will not be affected as your franking machine and label printer should be able to produce a tracking number for Signed for and SD services as standard.

If your franking machine is listed above, this means your model will not be able to print the new 1D barcode tracking number. If you wish to continue to use these services and process them through your franking machine, please get in touch as we have very simple, cost-effective, additions that we can add to your equipment to allow continuation of service. Frama Mailmark Franking Machines Affected: FS Series 3, FN Series 5, FX Series 5, FN Series 7, FC Series 7, FN Series 7.5, FX Series 7.5, FN Series 9 & FX Series 9

Due to the age of the Frama Matrix F12, Matrix F22, Matrix F32, Matrix F42, Matrix F62 & Matrix F82 models, there is a high chance these machines are incompatible with the new 1D barcode. As such, we request you to contact your franking machine supplier directly for further clarification. As soon as we have this information ourselves, we will let you know.

FP Mailing Mailmark Franking Machine Users

We understand from recent information received that the FP Mailing Postbase Mini & the FP Mailing Postbase Vision Series will be compatible with the latest Royal Mail 1 D barcode changes via a software download update to the equipment. This update should be receive by their customers before the changes are implemented.

Due to the age of the FP Postbase Qi3, Postbase Qi4, Postbase Qi6, Postbase Qi9, Postbase Econ, Postbase Office, Postbase Enterprise & Postbase Enterprise Pro models, there is a high chance these machines are incompatible with the new 1D barcode. As such, we request you to contact your franking machine supplier directly for further clarification. As soon as we have this information ourselves, we will let you know.

The only services currently affected by this change are the Royal Mail Special Delivery Guaranteed® service and the Royal Mail Signed For® service.

Blue franking ink is accepted. However the indicia should be printed in black ink where possible

The franking machine manufacturer will issue these. The barcodes will be printed automatically by the franking machine when selecting the Royal Mail Special Delivery Guaranteed or Royal Mail Signed For products. Mailcoms will be in touch with our customers regarding this at a later date.

Royal Mail are removing the use of coloured adhesive labels used for their Special Delivery Guaranteed® and Royal Mail Signed For® services & products as part of its modernisation programme.

The franking prices for all mail items is set annually by the Royal Mail. Any changes to the prices would be as a result of an overall postage change and Mailcoms would be in touch regarding this.

The manual recording of Special Delivery Guaranteed or Royal Mail Signed For items within despatch books is now not mandatory but can be done for piece of mind.

If items are collected, a Collection List must be signed. Dispatch receipts are not mandatory.

Any company branding that you may use and apply when franking can still be franked providing it does not interfere with Royal Mail’s ability to process the item(s). The areas on your letter or franking label where Royal Mail applies its codemarks should be avoided where possible.

When selecting the Special Delivery Guaranteed or Royal Mail Signed For service on your machine, the print length will automatically be set to the correct length. This may mean your company logo and/or return address my not print with these services.

The final deadline for using the current adhesive labels is midnight on 31st October 2022.

Yes this will not be affected by the change. By entering the item’s unique trackin identifier into Royal Mail’s “Track Your Item” tool, users can see the item’s status.

Yes this will not be affected by the change. The unique tracking identifiers on the self-adhesive labels can
be accessed until the deadline, and for 12 months after via Royal Mail’s “Track Your Item” tool.

After the deadline of 31st October 2022 has passed, non-compliant mail items risk being surcharged by the Royal Mail.

Each week a file will be sent from the manufacturers to Royal Mail confirming the barcodes used by each franking machine.
