What are franking labels?
Franking labels, or franking machine labels, are adhesive labels used by a franking machine to display postage information for mail items too big to go through a franking machine. Whilst they are an extra franking consumable, they can be used to enable a franking machine to send parcels that do not physically fit into the franking machine.
Instead of using traditional postage stamps, anyone with a franking machine can print postage directly onto a franking label, which in turn gets affixed to parcels or other larger items being mailed.
The franking machine will print its franking postage stamp onto a franking machine label which is then stuck onto the parcel being sent.
There are a wide range of franking labels available, all of different sizes to suit different purposes.

How do I use franking labels?
Franking labels are an essential solution for businesses using franking machines, especially when mailing larger envelopes, parcels, or packages that are simply too bulky to fit through the franking machines feeder. Using franking labels correctly ensures that your postage is accurately applied and remains compliant with Royal Mail’s regulations. See below our 4 step guide on how to use franking labels correctly.
Prep Your Franking Machine
Ensure your franking machine is loaded with enough ink and that the correct date and postage rate is selected.
Insert the Franking Label
Place a franking label in the designated area of your franking machine, ready for printing. Some machines have a built-in label feeder slot, while others require the label to be hand fed.
Print Your Franked Impression
Once ready, the franking machine will print the postage details (as it would a letter), including the Royal Mailmark barcode, class of mail, date, postage amount, serial number and any business branding if applicable.
Apply the label to your mail
Carefully peel and stick the franking label onto your large envelope or parcel, applying it onto the top-right corner, ensuring it is flat and clearly visible for scanning and processing.
Why Choosing the Right Franking Label Matters
The quality and type of franking labels you use can significantly impact your mailing efficiency and cost-effectiveness. Here’s why selecting the right franking label for your franking machine is essential for your business:
- Royal Mail Compliance – Only approved and compatible franking labels ensure your mail meets Royal Mail’s guidelines, reducing the risk of rejection or delays.
- Smudge-Free, Clear Printing – High-quality labels allow for crisp, smudge-resistant printing, preventing misreads that could affect delivery.
- Strong Adhesion – Reliable adhesive ensures your label stays secure on envelopes and parcels, even in transit. Poor-quality labels may peel off, leading to lost or returned mail.
- Cost Efficiency – Using the right franking labels prevents reprints and wasted supplies, ultimately saving your business time and money.
- Professional Brand Image – Clean, clear, and professional-looking postage labels enhance your brand reputation, showing customers that you take mail presentation seriously.
At Mailcoms, we offer premium franking labels that are Royal Mail approved, compatible with a wide range of franking machines, and designed for optimal print quality and adhesion, ensuring our customers are always happy.
