Mailcoms have led the way in franking machine ink cartridge refilling and recycling for a while now and is constantly looking to increase its product and service Range. We're pleased to announce we can now refill most Frama franking machine ink cartridges including the new Matrix Range.

Mailcoms can now replace the ribbon & spools inside the ink cartridge, The cartridge would be returned with the same amount of impressions as though it was new.

Mailmax Series

Matrix F Series
Modern technology has allowed franking machine manufacturers to protect high revenue streams by introducing microchips to their ink cartridges. These microchips are often programmed to time out after a certain time period or a certain number of impressions. Franking machines often then either time out or stop working alerting that the ink has expired.

The Matrix F series is no exception to this latest technology, one customer returned to us a supposedly empty Matrix F2 cartridge where it had only used around 15% of the ink! Although with the Matrix F series it's not so much the refilling but the microchip that's proved to be challenging. The Matrix F series ink cartridge is quite simply two HP45 ink cartridge filled with non fluorescent red ink and a Microchip affixed to one of them.

The Matrix F series uses a short range 'contactless' memory chip with 4096 bit EEPROM. This is basically a microchip with an antenna to send and receive data to and from the franking machine to tell it when stop working and to show the message that the ink is either out of date or has ran out even though much of the ink still remains.

Customers have been asking us to offer a refill service and we are pleased to confirm we are very close to it. Although the microchip used for this cartridge has an 'Anti Clone' function embedded into it we have been developing our own identical program for this chip that performs the same function and therefore allowing us to refill and reset your ink cartridge. The ink we will use is recycled original UK franking machine ink extracted from similar HP45 style UK franking ink cartridges. This ensures the ink cartridge will print and perform as good as it would as if it were new. Again, keep your empties!!

Second Hand Used Franking Machines and Ebay Advice

Franking Machines are not like your typical piece of office machinery. To be able to re-use them you need to register the machine to be able to recreditit/top up the machine. In addition you'll need a Royal Mail license to use it. This whole reconnecting/re licensing process can cost a substantial amount of money and usually much more that you'll probably pay for the machine.

One recent problem is that franking machines are being listed on ebay despite being a 'prohibited item'. Most of these franking machines are either leased or rented from the manufacturer and when a machine is not returned to the manufacturer at the end of a rental or lease its listed as lost or stolen and will not be able to be relicensed.

If you get offered a second hand franker always check the meter / serial number with the manufacturer. This is the number that starts with letters followed by a sequence of numbers such as N12346567 or PB1234567.

When buying or leasing a franking machine its important to be aware of all he pitfalls and hidden extras.

To help we have compiled a list of points that are well worth covering as a commission paid sales representative may not offer the negatives as it could jeopardise their sale:

Is the company a Royal Mail approved independent supplier and maintainer of franking machines?
How much does the replacement ink cartridge cost?
How many impressions does the ink cartridge last with and without printing the company logo or return address? (Ask for evidence as this can vary dependent on who you're talking to!)
Is there a charge for adding postage to the franking machine? If postage top ups are free, find out how many are free per annum and how much each top up would be thereafter.
Most Franking Machines are recredited down the phone line or fax line, find out how much the call cost would be as some use premium rate '090' numbers that are charged at up to £1.50 per minute. (Beware as the cost is not the only issue, many modern phone systems barr '090' numbers !!)
Is there a charge to update the machine or postal scale with new tariffs when the Royal Mail change their postage prices?
If they promise free Royal Mail tariff updates find out how many are included and how much each one is thereafter. (The Royal Mail have changed some prices twice since April 08 and by up to as many as three times in on one year recently!!!)
If you are signing a lease or rental agreement they usually all carry those annoying 'documentation fees' or 'administration fees' which would be payable with the first rental. Find out how much this would be, they can vary from £75.00 up to around £150.00!!
How much do the franking labels cost when franking onto larger items?
How much does the logo stamp or return address cost?
How much does the annual service and maintenance cover cost and does this cover all breakdowns, call outs parts and the annual Royal Mail inspection? Also check if its onsite maintenance or 'return to base' (This could leave you without a machine for a prolonged period of time!!).
Does the company install the equipment and train the customer free of charge or is it delivered in a box for you to sort out?

The History of Franking Machines

The franking of mail started on a limited basis following the creation of the General Post Office by parliament in 1660.

At this time a politician was able to send mail simply by signing his signature in lieu of a stamp.

By the 19th century this system was said to have been getting widely abused and people suggested that anyone with a friend in parlaiment could get their post franked.

The Office of Fair Trading have been working with the Royal Mail over the last few years to give customers more choice over who supplies your franking machine without expensive rental, service contracts and high running costs.
In 2005 franking machine manufacturers gave undertakings to the OFT which were to:

the level of usage typically obtained from each model of ink cartridge according to an appropriate measure.
