What is a smart franking machine?

A smart franking machine captures data so that, when you frank a chargeable service, it reports the service used and any VAT back to Royal Mail automatically, so a VAT statement or invoice can be issued. Check the manufacturer lists below to see if your machine is smart compliant.

Smart Franking Machines have been around for a few years now. A smart franking machine is a machine that enables ‘data capture’ so when you frank a certain service the machine can report back information on the service used and if VAT is applied it can automatically report to the Royal Mail that this service has been used and a VAT statement / invoice can then be issued. Currently only a few services are liable for VAT that can be accessed via a franking machine although this could change.

How do I know if my franking machine is smart compliant?

Check the manufacturer lists on this page. They are a guide, so confirm with your franking machine supplier or manufacturer. If your machine is not listed, contact Mailcoms for a quote to upgrade to a smart franking machine.

Why do I need a smart or Mailmark compliant franking machine?

Royal Mail’s Mailmark standard gives you the lowest franking prices and a cleaner, more professional impression, and smart machines report chargeable services and VAT automatically. Older non-smart machines can lose access to the best rates and may eventually be decertified.

What happens if my franking machine is not smart compliant?

You may miss out on the lowest Mailmark postage rates and automatic VAT reporting, and Royal Mail may eventually stop supporting the machine. Upgrading keeps you on the best prices and fully compliant.

Are smart and Mailmark the same thing?

They are closely linked but not identical. Mailmark is Royal Mail’s barcoded franking standard for the best rates and richer tracking data, while smart refers to the machine reporting service and VAT data automatically. Most current machines are both.

Can I upgrade my existing franking machine to be smart compliant?
