What is accounting on the SendPro C?

Accounting lets you charge back postage for printing envelopes to departments or clients, and run reports showing how much you spent over a given period. The Envelope Printing application uses a multi-level account format, which is separate from Parcel Shipping cost accounts.


What are cost accounts on the SendPro C?

Cost accounts let you charge back the cost of printing Parcel Shipping labels so you can track how much each department spends. When you print a Parcel Shipping label you can allocate a cost account to it, then tap Shipping History to view the amount each department has spent.


How does the multi-level account structure work on the SendPro C?

Envelope Printing accounts can have up to a three-level hierarchy: account (top level), sub account and sub sub account. Names can be up to 75 characters per level.

Important: Only the lowest level of the hierarchy is chargeable — that is where transactions are applied. An account with no sub accounts is charged directly; an account with sub or sub sub accounts charges the lowest level.

For example, the account Engineering could have sub accounts Software and Hardware, and each of those could have sub sub accounts such as Design and Testing. When multiple levels are linked they share one account number and password and are treated as one set.


How do I create the security PIN on the SendPro C?

A security PIN protects your device. If you set one at installation, you are prompted for it on power-up or after sleep mode.

Create a PIN: tap the Settings (gear) icon, tap Security PIN in the Device & Network section, tap Create PIN, enter a 4-digit PIN and verify it.

Change or disable: tap Settings > Security PIN, then Change PIN or Turn OFF Security PIN, and enter the current PIN.

Lock the device manually: tap the user profile icon in the top-right of the toolbar and tap Lock this Device.

How do I create an account for Envelope Printing on the SendPro C?

To create an Envelope Printing account, open Manage Accounts and create a new account with a name and code.

  1. Tap Envelope Printing on the Home screen, then Account.
  2. Tap the Preferences icon in the upper-right, then Manage Accounts.
  3. Tap Create new account.
  4. Enter the account name (up to 75 characters) and a unique code.
  5. Optionally add a description (up to 150 characters) and a password (four characters, case-sensitive).
  6. Set the status to Active.
  7. Tap outside the fields, then tap OK to save. Choose Create New Account, Add a Sub Account, or Continue if finished.

How do I select an account on the SendPro C?

When accounting is enabled you must select an account before printing postage.

  1. Tap Envelope Printing on the Home screen.
  2. Tap Account.
  3. Tap the account you wish to use.

How do I edit an account on the SendPro C?

You can edit an account’s name, code, description, status or password.

Note: Once you charge postage to an account, you cannot change its name or code, or delete it. You can set it to inactive to stop further transactions.

  1. Tap Envelope Printing, then Account.
  2. Tap the menu icon in the upper-right, then Manage Accounts.
  3. Tap Edit account, select the account and tap OK.
  4. Make your changes (or set the status to inactive), tap outside the fields, then OK.

How do I delete an account on the SendPro C?

Deleting an account removes its data permanently. You cannot delete an account that has had transactions charged to it — set it to inactive instead.

  1. Tap Envelope Printing, then Account.
  2. Tap the menu icon, then Manage Accounts.
  3. Tap Delete account, select the account and tap OK.
  4. At the warning, tap Yes, delete account, then OK.

How do I save an account as the default on the SendPro C?

To make an account your default, save it within a preset.

  1. Tap Envelope Printing, then Account Required and select your account.
  2. Tap the Preset button, then Create New Preset.
  3. Name the preset and tap the tick button.

How do I add a Parcel Shipping cost account on the SendPro C?

Create cost accounts to record Parcel Shipping usage by department. You can modify but not delete a cost account.

  1. Tap Shipping Cost Accounts in the application drawer.
  2. Tap the + in the upper-left.
  3. Enter an account name (up to 20 characters) and tap the green tick. Optionally add a description (up to 200 characters).
  4. Tap Active or Inactive, and tick Make this my default Cost Account if required.
  5. Tap Apply. To enable cost accounts overall, tap the Preferences icon and slide the toggle to ON.

How do I view printed Signed For tracking numbers on the SendPro C?

To view printed Signed For tracking numbers, run the UK Trackable Products report from Manage Accounts.

  1. Tap SendPro Apps on the Home screen, then Manage Accounts (tap Got It at the No Sync Required prompt if shown).
  2. Tap Reports, then View & print reports.
  3. Tap the UK Trackable Products report (scroll to find it).
  4. Tap Next, set the time period, then tap View report — or tap Actions > Email Report to email it.

SendPro C Accounts – Frequently Asked Questions

Can I delete an account I have used on the SendPro C?

No. Once you charge postage to an account you cannot delete it or change its name or code. Set it to inactive to stop further transactions.

What is the difference between accounts and cost accounts?

Envelope Printing accounts (multi-level) charge back franking postage to departments. Parcel Shipping cost accounts track spend on parcel labels. They are managed separately.

How many levels can a SendPro C account have?

Up to three: account, sub account and sub sub account. Only the lowest level is chargeable.
