How do I add or refill postage on the SendPro C?

To add postage for franking, open Postage Balance in Envelope Printing and refill by the amount you need.

  1. From the Home screen, tap Envelope Printing.
  2. Tap Postage Balance at the top of the screen.
  3. Tap Refill Postage. The machine checks and displays your available balance.
  4. Type in the amount of funds to add.
  5. Tap Refill mail postage. The machine displays “refilling postage”.
  6. When complete, tap View receipt to print one, or Done.

Tip: Refill as soon as you receive a low funds warning so you do not run out mid-mailing.


How do I process a surcharge payment on the SendPro C?

To process a surcharge, select Surcharge payment from the class options and enter the value.

  1. From the Home screen, select Envelope Printing.
  2. Select the class box on the right, then tap Start over.
  3. Scroll to and select Surcharge payment, then select it again.
  4. Choose an amount between 0.01 and 500.00 and type it using the keypad.
  5. Tap Apply, then Apply again.
  6. Clear the high-value postage message by tapping the cross, then feed your item through the machine.

How do I print a zero-value test print on the SendPro C?

To print a £0.00 test print, use the Surcharge payment option and apply without entering a value.

  1. From the Home screen, select Envelope Printing.
  2. Select the class box, then tap Start over.
  3. Scroll to and select Surcharge payment, then select it again.
  4. Ignore both options shown and tap Apply in the bottom-right. The frank now shows £0.00.
  5. Feed your item through the machine.

How do I check my postage balance on the SendPro C?

Your available postage is shown on the Postage Balance button at the top of the Envelope Printing screen.

  1. Tap Envelope Printing on the Home screen.
  2. Tap Postage Balance.
  3. Tap Refill Settings to view the amount available.

How do I fund postage on the SendPro C?

Pitney Bowes offers two ways to fund Envelope Printing postage: a prepaid account or a credit account. You must choose one payment method — credit cards cannot be used.


How do I upload Envelope Printing transactions on the SendPro C?

The machine uploads transactions automatically at least once during the day and once after hours, and when you power it back up after locking or switching off. A “Sync your data” message means transactions need uploading. To upload manually:

  1. Tap the Settings (gear) icon.
  2. Scroll to Envelope Printer Settings and tap Sync Transaction Data. Messages show “Preparing” then “Sending Transaction Data” then “Transaction Data Sent” (or “No Sync Required”).

Note: If the machine prompts you to upload more than three times, contact technical support.


How do I view my postage refill history on the SendPro C?

To view or reprint past refill receipts, use the Print Refill Receipt app.

  1. Tap SendPro Apps on the Home screen, then Print Refill Receipt.
  2. Tap Refill History and tap the receipt you want.
  3. Tap Print and insert an envelope to print it.

How do I change the default refill amount on the SendPro C?

To change the default refill amount, open Postage Refills in Settings (or Refill Settings in Envelope Printing).

  1. Tap the Settings (gear) icon, scroll to Envelope Printer Settings and tap Postage Refills (or tap Envelope Printing > Postage Balance > Refill Settings).
  2. Tap the box under Default refill amount.
  3. Tap the back key to clear the existing amount, enter the new amount and tap Apply.

How do I set the low funds warning on the SendPro C?

To be warned when your postage reaches a certain level, set a low postage threshold.

  1. Tap Envelope Printing, then Postage Balance, then Refill Settings.
  2. Tap Low postage threshold.
  3. Clear the existing amount, enter your threshold and tap Apply.

How do I complete a Royal Mail postal inspection on the SendPro C?

When a postal inspection is required, you are notified automatically on the Home screen. If accounting is enabled, tap Account and select an account first, then tap Balance Enquiry or Refill Postage to fulfil the inspection.


How do I view the total postage spent on the SendPro C?

  1. Tap the Settings (gear) icon.
  2. Scroll to Envelope Printer Settings and tap Postage Refills.
  3. Tap Advanced to view the total postage spent and the number of pieces printed.

How do I print a pre-paid envelope on the SendPro C?

To print pre-paid return postage, print without a date using the Prepay class.

  1. Select Envelope Printing, then the class option on the left.
  2. Tap Start Over and select 1st or 2nd Class.
  3. Scroll to and select Prepay Letter or Large Letter (pre-pay large letter is up to 100g).
  4. Tap Apply. The machine is ready to print a pre-paid envelope.

Note: The pre-paid impression shows no date, which is normal and does not restrict when it can be posted.


How do I fix Postage Balance showing “reading” on the SendPro C?

If the Postage Balance shows “reading” instead of the amount, an internal component fault has occurred. Restart the machine: unplug the power cable, wait for the display to turn off, wait one minute, then plug it directly back into a wall outlet.


Why can’t I refill postage on the SendPro C?

If you cannot refill your Envelope Printing balance, you usually need to upload transactions. Make sure the device is connected to the internet, then try the refill; if it fails, sync the data.

  1. Tap Envelope Printing, then Postage Balance, then Refill Postage.
  2. Enter the amount and tap Refill Mail Postage.
  3. If it fails, tap Settings > Envelope Printer Settings > Sync Transaction Data and wait for “Transaction Data Sent”, then try again.

Why are some Royal Mail services not showing on the SendPro C?

Some Royal Mail services do not appear because Royal Mail does not offer every service to every destination. For example, International Standard is widely available, but International Tracked / Tracked & Signed is only available where the delivering party offers it. Refer to the Royal Mail Business Price Guide for the full list.


How do I manage paperless billing for the SendPro C account?

To turn paperless billing on or off, sign in to Your Online Account and use the Paperless Billing options under Billing & Financials. Select Go paperless for all (or per account), or Edit Settings then Turn off Paperless to receive a paper bill.

Note: Turning paperless off may add a £5 (excluding VAT) paper charge to future invoices. Billing email notifications are managed under Billing Notifications in the same portal.

How do I add postage to the SendPro C?

Why can’t I refill postage on my SendPro C?

You usually need to upload transactions. Check the device is online, then tap Settings > Sync Transaction Data and wait for Transaction Data Sent before retrying the refill.

How do I print a pre-paid (no date) impression?

Select Envelope Printing > class > Start Over, choose 1st or 2nd Class, then select Prepay Letter or Large Letter and tap Apply. The impression prints with no date.
